How to Automate WhatsApp Messages (Free and Paid Ways)
What the free WhatsApp Business app can automate, where it stops, and how to automate receipts, reminders, support replies and reports step by step.
You can automate WhatsApp messages in two ways. The free WhatsApp Business app has built-in greeting messages, away messages and quick replies, which handle simple, predictable replies. For anything more, such as sending a message when an M-Pesa payment arrives, replying with an AI agent, or sending a daily report, you need the WhatsApp Business API connected to an automation tool. That tool decides when to send, what to say and who to send it to.
This guide covers both: what the app can do for free, where it stops, and how to set up automated WhatsApp messages step by step, with 8 ready examples.
[ADD BEFORE PUBLISHING: the WhatsApp message you automated first, and what it saved you or a customer. For example, how many "did you receive my payment?" messages stopped once receipts went out automatically.]
Automating WhatsApp messages for free with the WhatsApp Business app
Before you pay for anything, set these up in the WhatsApp Business app under Business tools:
- Greeting message: sent automatically the first time a customer messages you, or after 14 days without contact. Use it to say what you sell, your hours and how to order.
- Away message: sent automatically outside your business hours, so nobody waits in silence overnight.
- Quick replies: saved answers you insert by typing "/" in a chat. Use them for prices, delivery areas, your Paybill number and payment details.
- Labels: tag chats as "New order", "Paid" or "Follow up" to keep track without a spreadsheet.
- Catalogue: list your products with prices, so customers browse without asking.
What the WhatsApp Business app can't automate
The app's automation only reacts to a customer messaging you. It can't:
- send a message on a schedule, such as a reminder every Monday;
- send a message when something happens in another system, such as a payment, an order or a form;
- answer questions it doesn't have a saved reply for;
- write messages to a Google Sheet, a CRM or your accounts.

How to automate WhatsApp messages step by step
Every automated WhatsApp message comes from a workflow with three parts: a trigger (what starts it), the message (what to say), and the recipient (who gets it).
- Choose the trigger. This could be a schedule (every weekday at 7am), an event in another app (an M-Pesa payment, a Shopify order, a new Google Sheets row, a form answer) or an incoming WhatsApp message.
- Get the details you need. Look up the customer's name, the amount, the order number or the balance from the system that holds it.
- Write the message. Use the details as placeholders, for example "Hi {name}, we've received KES {amount}. Receipt {receipt}." For messages that start a conversation, use an approved WhatsApp template.
- Decide if a person should check it first. Payment requests and anything sent to many people should wait for approval until you trust the workflow.
- Send, then record it. Log what was sent and when, so you can answer "did you message me?" with certainty.
8 WhatsApp messages worth automating
1. Payment confirmations
When a customer pays your Paybill or Till, they get a WhatsApp with the amount and M-Pesa receipt number within seconds. The "did you receive it?" calls stop.
2. Payment reminders
Friendly, then firmer, reminders sent on a schedule to everyone who owes you, with an M-Pesa prompt to pay. Template: Invoice Reminder Email with an M-Pesa Payment Prompt.
3. Customer support replies
An AI agent answers customers in English or Swahili, day and night. It hands billing questions to a specialist agent and checks your own documents, so it never invents a price. Template: WhatsApp Customer Support AI Team in English and Swahili.
4. Order updates
"Your order is confirmed", "out for delivery" and "delivered", each sent when the order's status changes in your store.
5. A daily report to you
Every morning, a WhatsApp briefing as a voice note and in writing: today's meetings, the emails that need you and the one thing to do first. Template: Daily Briefing AI on WhatsApp at 7AM.
6. Low stock alerts
A message the moment a product drops below a set quantity. Template: Shopify Low Stock Alert on WhatsApp.
7. Approvals
Staff send a receipt photo on WhatsApp, you get a message with Approve and Reject buttons, and the approved expense lands in your sheet. Template: Expense Approval Workflow: WhatsApp Receipts to Google Sheets.
8. A personal AI assistant
Message it like a colleague: "add this customer", "what did we sell last week?", "draft a reply to this email". It remembers what you've told it. Template: WhatsApp AI Assistant with Memory.
Example: an automatic WhatsApp when an M-Pesa payment arrives
Here's what one complete automation looks like, from payment to message, in about five minutes of setup:
- Trigger: "M-Pesa Payment Received" starts the workflow whenever anyone pays your Paybill or Till. You connect your Daraja keys once and register payment notifications with one click.
- Look up the customer: find the payer's phone number in your Google Sheet of customers, to get their name and any balance.
- Record it: add a row to your payments sheet with the amount, receipt number and time, so reconciliation is done as you go.
- Send the message: "Hi Jane, we've received KES 2,500. M-Pesa receipt SJ12ABC345. Thank you!" goes to the customer on WhatsApp, or by SMS if you don't have a WhatsApp Business number yet.
- Tell yourself: a short WhatsApp to your own phone, "KES 2,500 from Jane, balance now KES 0", so you know without opening the M-Pesa app.
Once this runs, nobody in your team types a receipt or asks "has Jane paid?" again. The same pattern of trigger, look up, record, message and tell works for orders, bookings, forms and deliveries.
Rules for automated WhatsApp messages
- Only message people who opted in. Automated messages to strangers get reported, and your number gets limited.
- Respect the 24-hour window. You can reply freely for 24 hours after a customer's last message. After that, start with an approved template.
- Keep it useful. Receipts, reminders and updates are welcome; daily promotions aren't.
- Let a person take over. Every automated chat should have a way to reach a human.

Questions
Can I automate WhatsApp messages for free?
Partly. The WhatsApp Business app's greeting messages, away messages and quick replies are free. Scheduled messages, messages triggered by other apps, and AI replies need the WhatsApp Business API.
Can I schedule WhatsApp messages?
Not in the WhatsApp Business app itself. With the WhatsApp Business API and an automation tool, you can send messages on any schedule, using approved templates for messages that start a conversation.
How do I send automatic replies on WhatsApp?
For simple replies, set a greeting and away message in the WhatsApp Business app. For replies that answer real questions, connect the WhatsApp Business API to an AI agent.
Is it legal to send automated WhatsApp messages?
Yes, to people who gave you their number and agreed to hear from you, as long as you follow WhatsApp's Business Messaging Policy. In Kenya, also handle customers' personal data in line with the Data Protection Act.
Can a WhatsApp message start an automation?
Yes. With the API, an incoming message, a button tap or a call can start a workflow: log an expense, book a meeting, look up an order or answer with an AI agent.
